What sounds promising has been solved by the Cologne startup Evy Solutions with the help of the intelligent, AI-based software Evy Xpact. The special feature of the solution is its text-based approach, which allows relevant information to be extracted and classified even from unstructured data.
(Köln) Companies receive countless documents in their inboxes every day, the manual processing of which is prone to errors and consumes a lot of time and resources. Companies that rely on the AI-based software from Evy Solutions benefit from an automation rate of nearly 100 percent and up to 80 percent in cost and time savings in document processing.
Evy Solutions was founded in 2017 by Michael Vogel and Arian Storch. At that time, ten years of development time had already gone into the original product idea: an app based on the artificial intelligence developed by Arian Storch himself. “We wanted to create an app that brings together documents from the analog and digital worlds. Whether letters or emails – everything bundled, classified, and correctly assigned in one app,” recalls founder and managing director Arian Storch. “But instead of this B2C complete solution, we received inquiries from individual areas in the B2B sector.” So, in 2018, the startup broke the app down into its individual modules and further developed them: Evy Xpact was born and went operational in 2020. Meanwhile, many well-known companies are among the customer base of Evy Solutions – including ABB robotics, creditreform, and Hans Ihro GmbH.
AI made in Germany – quickly deployable and 100 percent GDPR compliant
The solution scores with high learning speed. While a typical AI requires around 100,000 documents to “learn” a corresponding customer case, Evy Solutions only needs 50 to 100 documents for the same case. This ensures that customers can work fully with Evy Xpact very quickly – within four to six weeks. The self-developed AI “Made in Germany” also guarantees complete GDPR compliance. All data is hosted and processed within Germany.
Flexible modules for different application areas
Another major advantage is that Evy Xpact can process a wide variety of document types and formats. These include transport orders, delivery notes, orders, tax assessments, contracts, damage reports, or factory certificates. Depending on the application case, the product can also be flexibly built from the individual modules: from the classification, sorting, and storage of documents to the content separation of batch documents, extraction of information, or verification of the extracted content and, if necessary, enrichment with missing information, to semantic searches for content and relationships, Evy Xpact covers all areas in a modular system.

Division into three industry-specific product categories
The trade fair break imposed by the Corona pandemic was wisely used by the company to closely examine its customer areas during the lockdown months and, as a result, divide its solution into three product variants that are now even more tangible and quicker to deploy for the respective target groups.
- Xpact Logistics is aimed at transport and logistics companies and ensures, among other things, fully automated capture and processing of transport orders, customs papers, or delivery notes.
- Xpact Production ensures fully automatic processing of orders, complaints, and much more in the manufacturing sector.
- Xpact Office is ideally suited for the assignment and processing of client documents from insurance companies and law firms, e.g.: personnel files, dunning notices, or damage reports.
The software Xpact Logistics in detail
Processing transport orders – a tedious topic for many logistics and transport companies. This costs time, ties up employees, and is often prone to errors.
The software solution Xpact Logistics enables fully automated processing of transport orders. Using the self-developed artificial intelligence, Evy Solutions’ software can extract the information needed for processing (e.g., customer number) from transport orders, completely independent of the layout. In addition, it offers validation and enrichment of the information with data from the company’s system. Thus, the employee is only informed at the end about the successful processing and storage of the transport order.
This not only saves companies time but also costs. In addition, employees are relieved, and the error rate is reduced.
This is how fully automated processing works: Example transport orders
In the first step of the workflow, Xpact automatically monitors the document input (e.g., email inbox), classifies the incoming documents, and filters out the transport orders. All other documents are forwarded to other departments upon request or remain untouched by the software. Subsequently, the software extracts the desired information from the transport order (e.g., customer number, weight, size, etc.) and checks it for accuracy and completeness if desired.
To do this, Evy Xpact compares the data with the company’s system, validates it, and enriches it with master data if necessary. If all information is correct and complete, it is stored in the existing ERP/TMS system of the company, and the responsible employees are informed about the successful processing or the transport order is executed. If the information is not correct, the software automatically sends it to the responsible clerk for manual revision.
From request to approval in under a minute
Hans Ihro GmbH relies on AI-supported document analysis from Evy Solutions for the capture of transport orders. For over 50 years, the family-run forwarding company Hans Ihro has successfully ensured smooth transport orders. The customers of the medium-sized corporate group include many market-leading manufacturers from the automotive, building materials, packaging, and machinery and plant engineering sectors.
So it is no surprise that over 350 transport orders are received daily by the logistics specialists. Capturing an order previously took an average of three minutes, and in the central capture department at Hans Ihro, two employees were fully employed. Thanks to the intelligent, AI-based software “Xpact Logistics,” the forwarding company has now been able to reduce the time spent on this monotonous task by two-thirds. Employees are pleased with the freed-up time now available for processing more demanding tasks.

Growth plans: Expansion across Europe
The company has a lot planned: When asked about their future plans for the coming years, the two founders mention rolling out their solutions in the entire European market as the next goal. Evy Solutions has also already made inroads in the USA.
